Job Description

Our Client, a Public Utility that provides natural gas and electricity to the majority of Michigan's 10 million residents is seeking a talented and self-driven individual for needs serving in the role of Executive Administrative Assistant

 

We are seeking a highly organized and adaptable Administrative Assistant to support three executive directors within our organization. The ideal candidate will be proficient in Microsoft Outlook, Excel, and Teams, and will excel in a dynamic, fast-paced environment. This candidate will be adept at adjusting priorities and keeping up with shifting demands. This role requires exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving.

Job Description/Responsibilities

  • Calendar Management: Efficiently manage and coordinate the executives' calendars, ensuring all appointments, meetings, and events are scheduled and updated.
  • Meeting Coordination: Schedule and organize meetings, including preparing agendas, taking detailed notes, and distributing minutes.
  • Meeting preparation: Ensure that all materials are available prior to key meetings and help with week-ahead preparation.
  • Expense Reports: Prepare and submit expense reports for the executives, ensuring accuracy and timely processing.
  • Event Coordination: Plan and coordinate team events, including logistics, catering, and communication with attendees.
  • Collaboration: Partner with other executive assistants within the P&C function to ensure seamless support and coordination across the team.
  • Adaptability: Embrace change and demonstrate agility in responding to shifting priorities and demands.

Job Requirements

Skills Required:

 

  • Proficiency in Microsoft Outlook, Excel, and Teams.
  • Strong attention to detail and management across three different clients
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to handle sensitive information with discretion.
  • Proven experience in a similar role supporting senior executives.
  • High level of adaptability and agility in a fast-paced environment.
  • Experience in the HR function or related field.

 


 
 Education Required:  

 

  • Bachelor's degree in Business Administration or a related discipline
