Our Client, a Public Utility that provides natural gas and electricity to the majority of Michigan s 10 million residents is seeking a talented and self-driven individual for needs serving in the role of Administrative Assistant
Our client is seeking a detail oriented, highly motivated, well-organized, team oriented administrative assistant with the attitude and aptitude to learn new skills and perform new responsibilities as part of a project-specific construction team.
Responsible for the overall office and administrative activities associated with the Freedom Compressor Station (FCS) construction Project located in Manchester, MI. The facility is a natural gas pipeline compressor station with construction scheduled to start in August, 2018.
Specific responsibilities and duties will include:
The efficient operation of the administrative and clerical activities at the Project construction facilities.
Assist the Project Manager and Project personnel with administrative activities and record keeping such as:
- Processing timesheets and other project records,
- Processing Project office related Purchase Orders (PO s),
- Orientation and records. Ongoing training and scheduling for Project personnel,
- Maintaining office facilities and equipment functional and scheduling repair callouts as necessary,
- Establishing hard copy and electronic files and maintaining Project related records.
Maintaining a high degree of professionalism, maintain office equipment and facility safety and comply with applicable standards and practices.
Process Project Trailer Complex Office Equipment and Facility Requests and Work Orders (WO s, tickets), including:
- Office equipment maintenance,
- Facilities maintenance,
- Additional office/clerical help,
- Administer and oversee contractors that perform associated activities.
Assist in developing and defining office policies and procedures.
Develop the annual budget for office administration functions.
Be responsive to Project conditions or requirements which may involve extended and/or abnormal work hours.
Schedule & Coordinate Meetings.
Record & Publish Meeting Minutes.
Project Mail Distribution
Perform Administrative Duties to Support Project Team
Point Of Contact (POC) for IT Computer & Printer Trouble Tickets
May require lifting and/or carrying heavy loads (Approx. 5-35lbs)
Working knowledge and use of Microsoft Office programs Word, Excel and PowerPoint experience is required; Visio and OneNote experience is a plus
Will provide assistance in presentation development using MS Office tools (Word, PowerPoint, Excel)
Ability to perform standard to complex office tasks
Experience tracking, maintaining and reporting on various inventories
Complex integration of conflicting calendar priorities
Excellent verbal and written communication skills
Excellent interpersonal and analytical skills
Excellent organizational skills
2+ years experience as Administrative Assistant
2+ years experience in specialized/functional area/discipline
Experience using electronic calendaring to schedule meetings for many attendees
Ability to productively work independently and as an overall integral Project staff team member.
Ability to work extended hours if and when required.
Associates degree or equivalent experience is preferred
