Our client, a manufacturing company in the Grand Rapids area, has an immediate need for a Receptionist for a 6 month+ contract opportunity
KEY RESPONSIBILITIES
Acts as the initial point of contact for visitors and callers.
Administers visitor policy including visitor forms, visitor logs, denied party screenings, issuing badges, obtaining ID etc.
Operates Identipasss security badge system (issues, activates, and deactivates badges).
Provides administrative support to the Operations Team as requested (priority over other departments).
Provides administrative assistance to other departments as needed and as time permits (Customer Service, Purchasing, Export etc).
Operates PBX or multi-line telephone system to answer incoming calls and directs callers to appropriate personnel, taking complete and accurate messages as needed.
Acts as a first line of defense against unwanted calls and/or visitors (solicitors, etc.)
Handles meeting arrangements including room scheduling, lunch, coffee, drinks, etc.
Assists other approved departments by completing forms, preparing correspondence, tracking orders, following up, &/or performing other tasks as requested.
Assists in the production of presentation materials and documents as requested.
Maintains above average attendance with minimal unplanned absences.
Responsible for performing job duties in a manner consistent with established Standards.
Responsible for working in a manner consistent with established safety rules and regulations and the use and maintenance of required personal protective equipment; including, but not limited to safety glasses, etc.
Performs job duties in accordance with approved procedures established in support of Sarbanes-Oxley regulations.
Creates and maintains databases and spreadsheets.
Uses independent judgment and initiative to determine appropriate course of action in non-routine matters. Interprets and adapts guidelines including, but not limited to, procedures, precedents and practices which are not always completely applicable to changing situations.
Arranges complex and detailed business-related travel plans and itineraries for all assigned Staff members using designated travel agencies. Receives and distributes travel documents.
Performs routine clerical tasks including arranging meetings, screening phone calls, filing, mail distribution, maintaining office supplies, and copying.
Screens correspondence and responds independently when appropriate.
Performs other duties as assigned.
